Committee Meeting Minutes APPROVED

1. Approval of Past Minutes:
Minutes Approved 07.09.2023
Previous minutes, Feb and June still to be completed by KL for Approval. AGM (Part 1) and AGM (Part 2) Minutes still to be completed by DC and KL respectively for approval.
2. Matters arising
Maintenance Officer still being sought. MR has made a further request in an email sent to KL on 04.10.2023 to be sent to all Members. IM still attending the Hub on Monday and Friday as Meeter and Greeter. DC still to update Membership List. MR awaiting suitable date to discuss allotment business with KL.
Some plots were highlighted as having members facing difficulties and noted.
3. Plot Updates
DC not present to update and Membership list not updated. Several plots are being contacted to check their status by DC. DC continues to contact the waiting list to fill vacant plots. Some plots were highlighted as leaving but further contact needs to be made. Will await update from DC. KL to confirm how many outstanding Missives remain.
4. Maintenance Update
Hub tap, Trolley Tyres, 2 stroke oil and new padlock still required. KL to update committee regarding tar paths, borders and communal hours information request from GCC.
5. Finance Update
MA finalizing 2022 accounts for publication.
MA sent balances for November as BOS – £379.30. Credit Union Account 1 – £10.00 and Account 2 – £775.00. £484 was spent on Croftburn Allotment Insurance and Polytunnel wood purchase. Currently MA had 16 members outstanding to pay CAA fees.
6. Inspections
It was agreed following the announcement at the Member’s Meeting (Sept) a ‘soft’ inspection would be held to ensure plots are ready for winter and would focus on shed maintenance, fences/borders, adjacent paths to plots, excessive materials, excessive waste, potential hazards, and overall state of the plot. Members would be notified with 4 weeks’ notice. (MR) IS offered to assist along with any members putting themselves forward.
7. Member’s Day
MR to approach Gordon to discuss an evening at the Bowling Club for members to attend. To text group once agreed.
8. AGM 2023
Following the completion of the minutes from DC and KL, an agenda will be drafted by MR and sent to Committee for approval. Following approval, a date will be agreed and Members informed of AGM date. A possible amendment to the rules regarding vacant plots should be considered.
9. Ongoing Matters
KL to report to committee on update from council regarding tarring of remaining paths, when repair to the front gate will be attended to. It was suggested the polytunnel be used to grow plug plants for sale to members.
10. AOCB
IS and KL still seeking funding for various projects at Croftburn Allotments.
