Committee Meeting Minutes

1. Approval of Past Minutes: Not Applicable.

2. Matters Arising

3. Plot Updates

• Vacant Plots: 5 Microplots confirmed with people leaving (C, E, F, J & P) . Question —- around Plot —-. Need to confirm what is happening with Plot –.
• Waiting List: – 30

DC lots of address changes from last year. Need to remind people that they need to keep addresses up to date. Also, to clarify who are helpers and who are joint plot holders. Few concession plots where the N.I number has not been supplied.

Query with Plot — regarding the classification of plot as a half, or a full, plot. To be confirmed by Una Cassidy at GCC.

Missives: To be checked by DC. KL to send to GCC.

4. Communal Day:

Painting of the tool shed. May need to purchase paint for this. JP keen to get the cabin painted. Weed the front next to the railings. The bit behind the microplots gets grassy and weedy. The plan to replace the weed suppressant material. JP has lavender seeds. Paths need to be tidied up. To start from 9am.

Wildflower Seeds – Idea to make seed bombs at the next communal day. Area to be defined.

5. Maintenance Update

• Plot — fence fell over and put back in place
• Polytunnel still planned for April.
• Water pipe needs repaired, Dependent on funds. Upstand needs replaced near Plot — and the main pipe down to the far corner needs replaced.

6. Finance Update

• MA has been in touch with Ruth re: the bank account and will meet face to face to change the signatories. All current signatories to be removed. Also been in touch with Trudy re: the Credit Union account where the key deposits are held. Will check the process to get the signatories changed. MA has indicated availability.
• MR to pick up the paper accounts from IS.

7. AGM

• Minutes: DC to prepare minutes from the AGM. MR raised the point that the core of the committee membership was not complete so the meeting could not continue and other matters from the agenda could not be discussed.
• Date: No change. Still waiting until the accounts have been sorted.
• Fee Change: No updates.
• Missives: See above.
• Next Communal Day: Scheduled for April 01 2023.

9. Ongoing Matters

• Potato Order: Did not go ahead.
• Handovers: Completed.
• GAF: Kate from Trinley Brae allotments had got in touch with regards to arranging a visit for their Potato Day. An invitation was made to engage in cross pollination of ideas between the sites. No actions.
• Wormery is with Plot –.
• KJL to forward outcome of consultation.
